Description
The Swift + Company Catering Production Assistant reports to the Catering Manager and the owner of the company, and is responsible for assisting in the production of Swift + Company catering events. This is a full time position with excellent growth potential. Off-premise catering experience preferred but willing to train the right person with a can-do attitude. The CPA is an integral member of the Swift + Company catering team. Responsibilities include but are not limited to: + Scheduling staff for events + Recruitment and hiring of bartenders and wait staff for events + Answering phones / directing inquiries + Filing documents + Miscellaneous errand running + Maintaining an organized office + Carrying out specific projects and research by deadline, following up on results + Acting as an event production assistant the day of events as needed + Catering event management + Arranges showroom displays, maintains a clean showroom and keeps shelves organized and stocked with rental equipment + Maintains a neat desk with minimal personal items + Assist beverage manager with beverage load-out for events and beverage inventory + Manages account with van rental agency + Manages small fleet of catering vehicles, including maintenance and re-fueling + Responds to customer service problems and resolves complaints and/or refers complaints to the appropriate department + Attends industry related functions as assigned by manager + Fill in for other positions, when necessary, for smooth operation of the business + Networks with other industry professionals + Attends walkthroughs on job sites as requested by catering manager + Applicant must be able to work weekends, as events usually fall on the weekends, and we are open on Saturdays + Miscellaneous administrative duties + Assists other Inside Sales/ Customer Service Representatives when needed + Follows all procedures for safety violations and injuries + Adheres to all company policies, procedures, rules and regulations in written or verbal form + Attends production meetings + Sourcing and ordering office supplies and equipment + Other duties to be determined + Personal assistant to owner of company with the following attributes: efficient, discrete, flexible, self-motivated, organized, proactive, good communicator, IT literate + Personal assistant to owner of company. The role of a personal assistant can be varied, such as answering phone calls, taking notes, running errands, scheduling and / or attending meetings, emailing, texts etc. In business or personal contexts, the CPA / personal assistant will provide services that relieve his or her employer from the stress of tasks that are associated with managing one’s personal and/or business life. He / she assists with a variety of life management tasks, including running errands, arranging travel, shopping, gift wrapping, and general everyday tasks. The CPA / personal assistant is someone that completes tasks the owner requires whether personal or professional. He / she ensures that everything runs smoothly.
Qualifications
EDUCATION, SKILLS AND REQUIREMENTS: + Must maintain a professional personal appearance + Knowledge of the event industry. Prior catering, event planning or other hospitality experience a plus + Proficient knowledge of Microsoft Suite + Strong PC skills, including proficiency in Outlook, Word and Excel + Associates degree in marketing, communications, business, English, art, fashion or other related subjects + Ability to thrive in a team orientated, fast pace and innovative environment + Strong sense of ethics, etiquette and tact + Ability to establish and develop relationships with fellow employees, vendor and customers + Problem solver and solution oriented with the ability to identify and handle conflicts timely + Positive attitude and team player! + Strong communication skills, written and verbal + Detail oriented and organized with the ability to complete and manage a large volume of high quality work quickly coupled with the ability to multi task effectively + Timely return of responses to customers, orders and information request + Positive attitude, composure, humor, creativity, adaptability and approachability + Availability to work flexible day/night and weekend schedules due to the seasonal nature of the Swift + Company customers’ business volume + Be able to adhere to assigned schedule as business dictates + Must possess customer relation skills + Must be able to use mathematics to solve problems + Must be able to speak English clearly and write legibly. The ability to speak Spanish is a plus + Must be able to lift approximately 70 lbs. + Must pass company drug screens / background check + Must maintain an acceptable attendance record + Must be able to provide, understand and complete instructions furnished in written, oral or scheduled form + Maintain a cooperative working relationship with co-workers + Must be able to maintain a high degree of patience + Must have excellent attendance and punctuality + Must display excellent customer service skills and great attitude + Must have good clerical skills + Must be highly motivated with ability to work independently + Must be detail-oriented, dependable, and possess a strong work ethic + Must have valid Texas drivers license and ability to drive catering vans and trucks + TABC certified Swift + Company offers medical insurance coverage, and many other benefits in an exciting and fast-paced environment.
