PART-TIME/PERMANENT ADMINISTRATIVE ASSISTANT 2 Director’s Office Ridgefield, Washington – Clark County Do you have a strong background in administration and customer service, and are looking for a challenge? As our Administrative Assistant, you will provide support services to Enforcement, Fish, Habitat and Wildlife programs and the Director’s office within the assigned region. With your experience to explain and interpret complex rules, policies, and operating procedures to internal and external customers. You thrive on building collaboration and teamwork, assisting customer service staff and provides support as needed or requested. We are seeking a candidate to understand and implement complex agency rules, policies, and operating procedures. Duties Our Administrative Assistant, Confidentially manages email and calendar communications for Program Managers and Enforcement Captain. Processes invoices and prepares Order Payment Forms at the supervisor’s discretion. Schedules and tracks District Team Meetings. Coordinates meeting logistics, scheduling, and preparation as well as note taking as requested. Monitors and provides status updates for public disclosure requests, records management, and litigation holds. Processes Permit applications and monitors to ensure routing and approval meet required timelines. Creates, edits, and reviews documents and correspondence for accuracy, completeness, and compliance with agency and program requirements. Track P-Card completion and assist staff with rules and regulations for new acquisition of cards and compliance. Creates and maintains electronic and manual filing systems and databases. Maintains office supply, equipment, uniforms, and PPE, as needed. Updates program and personnel directories, as needed. Serves as the Vehicle and Electronic Device Coordinator for Regional Program Managers and Enforcement Captain as requested. WORKING CONDITIONS: Work Setting, including hazards: Duties are performed in a busy office setting. This position requires extensive computer use. Incumbent must be able to work with frequent interruptions and competing priorities. Opportunity to support staff in field work may be provided. Occasional interaction with wildlife may occur. May be called on to respond to a variety of requests while working alone and managing multiple projects. The incumbent may be required to lift or move up to 30 lbs. and climb an 8 ft. ladder to perform minor office maintenance. Schedule: This position is a minimum of 20 hours per week; may be more during heavy workload periods; flexible work schedule during core business hours. Workload demands may require work outside the assigned work hours and adjustment of work schedules. Travel Requirements: Some travel may be required throughout the State to attend training, meetings, and conferences. Occasional overnight travel may be required. Must meet the agency requirements for driving personal and state vehicles. Tools and Equipment: Computer, computer peripherals, and required software programs e.g., Microsoft Office Suite, agency specific programs, VoIP telephones, radios, projectors, video conferencing equipment, cell phones, internet access as well as Wi-Fi; business hub printer/fax/copier/scanner and postage meter. Customer Interactions: Customer service is an integral aspect for department success. Works with internal and external customers daily.
Qualifications
REQUIRED QUALIFICATIONS: Formal education will substitute year-for-year for experience. High school graduation or GED. AND Two (2) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. OR One (1) year of experience as an Administrative Assistant 1. License: Valid driver’s license. In addition to the above: Strong organizational skills, time management and self-management skills. Ability to communicate clearly, and concisely both verbally and in writing is essential. Professional communication and inter-personal skills. Ability to work with a wide range of individuals. Ability to prioritize and manage multiple projects and competing deadlines. Results-driven and self-starter. Skillfully type when composing letters, memos and emails or performing data entry work. Skilled in navigating and use of online and collaborating within virtual platforms. Knowledge and application of Microsoft Office Suite e.g., Microsoft Word, Excel, Power Point and Outlook to manage and track documents, reports, spreadsheets, databases, etc. Ability to protect and maintain confidentiality. PREFERRED QUALIFICATIONS: Professional office experience. Comprehensive working knowledge of Microsoft Office Suite. An interest in working with natural resource issues, knowledge of Washington Fish and Wildlife species and recreational and commercial activities.
