SALARY RANGE: $18-20/hr EMP STATUS: Full Time or Part Time Hourly REPORTS TO TITLE(S): Director of Animal Care DIRECT REPORT(S): N/A POSITION SUMMARY: Responsible for the completion of day-to-day administrative operations to keep the Wildlife Intake Center running smoothing and efficiently. Works closely with Board members, Director of Development, Social Media Coordinator, staff and volunteers. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Human Resources & Administration • Maintain and coordinate staff scheduling • Assist in the employee onboarding process (in support of our bookkeeping company as needed) • Provide administrative support for the Executive Team (Executive Director, Director of Animal of Care, Director of Development). Additional support may be required for other board members and staff and will be approved by the Administrative Coordinator’s supervisor. • Assists in basic IT support including backend management of G-Suite • Manage staff communications • Support maintenance of databases (donor, volunteer, members) including importing/exporting data to/from other formats as necessary • Interact with the public regarding wildlife issues and patients (email, in-person, phone, etc.) • Cover the front intake desk when volunteers or Intake Receptionists are unavailable • Provides support for fundraising, events and marketing projects Financial • Responsible for providing donor database information to our bookkeeping company • Responsible for basic banking duties (scanning checks, cash reconciliation, deposits, and sending necessary banking information to our bookkeeping company) • Responsible for managing donation boxes • Responsible for managing purchasing process • Supports our bookkeeping company in the processing of expense reports • Supports bookkeeping company in the processing of accounts payable Operations • Inventory management – office and medical supplies, drugs, sharps, food (fresh, dry, worms, etc.) including Amazon Wishlist o Assists in documenting and maintaining Policies and Procedures o Support annual reviews • Prepare WRMD weekly reports for the Board • Ensure facility is maintained in a proper and functioning manner (cleaning, lighting, heat/AC, general upkeep, etc.) by managing the contact list of approve repair people/companies and communicating appropriately • Ensure that the administrative areas and restrooms are clean and stocked with necessary items Benefits: • 401(k) • Paid time off • Professional development assistance Location: • Auburn, CA (GCWR Wildlife Intake Center Main Office) COVID-19 considerations: Masks are required, sanitation and cleaning of common use areas, constantly reviewing and updating precautions based on the latest guidance from the county, state and CDC. Qualifications
MINIMUM QUALIFICATIONS / REQUIREMENTS: EDUCATION AND/OR EXPERIENCE: • AA or AS Degree or higher (B.A. or B.S. preferred) • Minimum 2 years executive administrative experience • Minimum 1 year non-profit experience (2 or more preferred) • Office management experience preferred • Experience in animal care (operations or administration) preferred SKILLS/ABILITIES: • Ability to read, write and comprehend documents, including medical/animal care manuals written in English • Excellent computer skills (M.S. Office Suite, typing, spreadsheet creation and management, G-Suite) required - experience in Volgistics, Google Applications highly desirable • Skilled in dealing with confidential information and/or issues with discretion and good judgment • High level of organizational ability • Strong ability and willingness to work in a dynamic and ever-changing environment • Strong verbal and written communication skills • Strong problem-solving skills • Ability to multitask and remain flexible in a high-paced work environment • Strong basic math skills • Motivated self-starter • Ability to understand written formula/medication dosing • Interest and ability to learn new tasks quickly and then apply them • Basic understanding of social media • Ability to work well under pressure in a high stress environment both alone and as part of a team • Ability to work with people (public, volunteers, staff, etc.) in a patient and professional manner PHYSICAL DEMANDS & WORK ENVIRONMENT: • Standing – Walking – Sitting for extent of shift • Lifting – Standing – walking with up to 40 lbs • Bending • Requires evening, weekend and holiday work'
