State of Wyoming Logo STATE OF WYOMING invites applications for the position of: BAAS05-2023-00699-Habitat Protection Office Support Specialist-Cheyenne SALARY: $16.31 - $20.39 Hourly LOCATION: Cheyenne OPENING DATE: 03/22/23 CLOSING DATE: Continuous DESCRIPTION AND FUNCTIONS: Open Until Filled GENERAL DESCRIPTION: The Wyoming Game and Fish Department is seeking an Office Support Specialist in Cheyenne, WY. This position performs a wide range of general and agency-specific office and administrative tasks to support the Department's Statewide Habitat Protection Program. This role requires advanced general office skills including computer databases plus a comprehensive knowledge of Game & Fish Deptartment rules, regulations, policies and procedures. ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level. Responsible for maintenance of records in several computer databases, as well as hard copy files. Maintains (updates, data entry) several databases and hard copy files for use for legal action or information. Responsible for section's correspondence, sorting for response, filing or information routing. Assigns and routes information and keeps track of due dates and completion. Prepares correspondence for outgoing responses to other state agencies, federal government agencies, industry, consultants, NGOs and the public. Responsibilities include copying, scanning, faxing, archiving, and e-mailing or downloading responses to appropriate responders or agencies. Performs general office functions such as: scheduling meeting rooms, scheduling vehicle use, tracking fiscal information, finalizing the preparation of travel and reimbursement vouchers, managing office supplies, and maintaining office equipment. Prepares monthly and weekly reports for dissemination within the section and the Department. Accurately maintains and coordinates responses to development activities. Supports tracking by maintaining agency files and records; inputs data into databases. Prepares reports; verifies computer systems, databases and coded data for accuracy. Resolves problems and makes recommendations for improvement. Responds verbally and/or in writing to requests for information. Provides customer service to customers, clients and staff. Conducts research, troubleshoots office systems or procedures for efficiency and accuracy; collects, organizes and details in writing the required documentation in answering queries. Performs specialized tasks and coordinates general office functions such as budget, administrative, property management, procurement, information systems or fiscal duties and provide training to staff.
Qualifications
QUALIFICATIONS: KNOWLEDGE: Knowledge of applicable federal, state and local laws, codes, regulations and policies, technical processes and procedures related to the department. Knowledge of the principles and procedures of basic accounts payable and purchasing. Knowledge of techniques for providing a high level of customer service. Knowledge of computer databases, Google applications, Microsoft Office programs (including Word and Excel), and Adobe Pro. Knowledge of project management and planning. MINIMUM QUALIFICATIONS: Education: Associate's Degree (typically in Business) Experience: 0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II Certificates, Licenses, Registrations: None NECESSARY SPECIAL REQUIREMENTS: PHYSICAL WORKING CONDITIONS: Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc. Special physical demands are not required to perform the work.
