Description
The Wyoming Game and Fish Department is seeking a Hunters Education and Office Support Specialist in Cheyenne, WY. This position will advance the Wyoming Game & Fish Department's mission of conserving wildlife and serving people by providing administrative support to the Communication and Outreach team. This position's primary duties will be assisting the Hunter Education program and day-to-day business duties for Wyoming Wildlife magazine with minor support to the larger Communications and Outreach team. Compile and maintain new hunter education database accurately, including assisting Hunter education instructors with new event registration software platform of Kalkomey Event Manager 2.0 and tracking and organizing Hunter ed class statuses across the state. Maintain old hunter education database and update records for customer support; locate missing hunter education cards for students and updates/requests Wyoming Game and Fish Customer account numbers in the database. Providing customer service support for a network of hunter education volunteers and Wyoming Game and Fish staff involved with hunter education. Maintain and manage a directory of suppliers, freelance writers and photographers, and volunteers. Respond to inquiries from the public and volunteer hunter education instructors that require knowledge and interpretation of agency hunter education policies. Assess needs and maintain a supply of hunter/bowhunter education program materials, including ordering materials and mailing supplies to volunteer instructors. Tracking an inventory of education supplies for checkout and initiating repairs on broken equipment. Perform clerical assistant duties as requested (i.e., typing, scanning, copying) Retain and organize records as required by WGFD. Support bookkeeping and budgeting procedures for WGFD Hunter Education and the Wyoming Wildlife magazine. Occasionally deal with difficult situations and resolve conflicts tactfully and professionally. Process and maintain subscriptions for Wyoming Wildlife magazine. Generate contracts for freelancers and vendors for Wyoming Wildlife magazine.
Qualifications
PREFERENCES/**AGENCY REQUIREMENTS: Preferences may be given to individuals who have administrative and/or customer service work experience. Preferences may be given to individuals with knowledge of Wyoming hunting and fishing regulations or a passion for hunting and/fishing. Preferences may be given to individuals familiar with Google Suite, MS Office suite, Adobe Acrobat Pro. **Must have a valid driver's license. KNOWLEDGE: Ability to switch tasks quickly while maintaining organization and thorough documentation. Ability to pay attention to detail with efficient work speed. Extensive knowledge in computer applications such as Microsoft Office and Adobe. Knowledge of principles and concepts of computer systems, network systems, electronic mail, and phone systems. Excellent interpersonal communication skills to clarify information and resolve common problems from public, volunteer hunter education instructors, and department personnel. Skill in management of office resources; skills in acquiring and reporting data. MINIMUM QUALIFICATIONS: Education: Associate's Degree (typically in Business) Experience: 0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II Certificates, Licenses, Registrations: None NECESSARY SPECIAL REQUIREMENTS: PHYSICAL WORKING CONDITIONS: Typical work hours are Monday through Friday, 8:00 am to 5:00 pm with one hour for lunch. Typically the employees may sit comfortably to perform the work; however, there will be some walking, standing, bending, carrying light items, pushing wheeled carts, etc. Candidates must be able to easily pick up and move 30lb boxes.
