- Location: Hybrid – 50% Office (Twin Cities, MN) / 50% Remote Overview: The Membership Services Coordinator will provide critical administrative, operational, and processing support for the organization across a wide variety of internal departments and external stakeholders. This position will provide internal support to our accounting and reconciliation processes. They will also serve in a critical capacity for processing, campaign management and service to our more than 400,000 members, supporters and partners. Primary Responsibilities: • Accurately coordinate and manage the preparation of the daily bank deposit for all inbound check payments being received for internal departments (development, grants, corporate partnership, human resources, habitat delivery, conservation operations, etc.), requiring a detailed knowledge of activities and strict adherence to internal processes and quality control procedures • Coordinate and manage the client partnership with Deluxe Corporation on their Remote Desktop Capture (D24/7) and R360 caging service solutions – for the daily processing of inbound membership and annual giving campaigns • Provide detailed review and processing of membership and annual giving campaigns within our Microsoft Dynamics 365 Customer Relationship Management (CRM) solution • Sort, batch and process all inbound membership and annual giving campaign remittance for proper processing and reconciliation • Support the membership services team with customer service efforts, as needed and as capacity allows • Work cross-functionally with Pheasants Forever and Quail Forever’s team members to successfully administer and support membership, annual giving and major gift fundraising strategies and coordinating internal communication for outbound stewardship • Coordinate the processing and support of planned giving, corporate match program and charitable contributions from our members, supporters and partners • Sort, scan and process all inbound payments, recording necessary information and reporting directly to our accounting team and other internal departments • Provide accounts receivable and processing support to development, grants, corporate partnership, habitat delivery and conservation operations teams • Develop and maintain positive relationships with all team members, corporate partners, volunteers, agencies, and funders to ensure an open, collaborative, and inclusive approach to developing and maintaining programs and funding sources • Assist our accounting team with the reconciliation of any hard money deposits with Wells Fargo • Manage the ACH deposit process in coordination with accounting team and other internal stakeholders, managing accounts with multiple external parties and coordinating information from various sources • Support the membership services team with customer service efforts, as needed and as capacity allows • Office Requirement: 2-3 days/week for daily deposit process • Assume other duties and responsibilities as assigned.
- Qualifications
- Requested Knowledge, Skills and Abilities: • Associate or Bachelor’s Degree preferred • 5+ years of related professional experience • 1-3 years’ experience working in Microsoft Dynamics 365, Salesforce, or another customer relationship management (CRM) system preferred • Prior administrative and/or operations experience • Excellent verbal and written communication skills • Ability to work independently as well as in a dynamic team environment • Accurate, detail oriented, and highly organized with a strong sense of processes and systems • Ability to provide exemplary customer service to members, supporters, partners and team members • Promotes an equitable, positive, and respectful work environment among employees and customers • Ability to work independently, make decisions, multi-task, prioritize, and problem solve with resolution skills, close attention to detail as well has a high level of accuracy • Creative vision and strategic thinking skills • Proficiency with the Microsoft Office suite • Industry knowledge and experience is preferred but not required Salary: Commensurate with qualifications and experience + benefits.
