The main purpose of the office coordinator is to coordinate various office tasks and functions to ensure office operations run smoothly. Tasks and functions include but are not limited to front desk management; answering phones; maintaining an office, field, and kitchen supplies; and scheduling meetings and appointments. Additionally, to provide broad administrative support to a team of engineers, biologists, project managers, and regulator specialists.
Maintain general office efficiency and productivity by ensuring appropriate resources and processes are in place to support staff
Serving as the primary point of contact for staff and vendors on facility needs. This may include general maintenance and repairs, security and safety, furniture and equipment, space planning, and renovations
Book meetings, seminars, and conferences, as well as catering arrangements as needed
Filing documents, invoices, contracts, and other important company documents
Coordinate various office support services
Sorts and distribute mail to the recipient
On occasion, handle special administrative projects
Assist staff with data entry and internet research tasks
Manage field cameras through coordinating sign-out, downloading files, and charging/repairing
Assist with reporting duties such as data entry, typing, binding, scanning, and mailing
Assist with billing-related functions such as preparation of invoice cover letters, emailing invoices, and accounts receivable
2 or more years of administrative/office coordinator support experience in an office setting
Experience serving clients in a fast-paced operating environment
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Organized with keen attention to detail
Clear, efficient written and verbal communication skills
Willingness and ability to learn unique and detailed aspects of the company’s business and incorporate them into work product
Ability to handle multiple tasks and prioritize as necessary
Ability to take initiative in an environment of change and growth
A natural collaborator who values feedback and quickly adapts to change
