State of Utah Job Announcement Working Title: OFFICE SPECIALIST Recruitment Status: Open Starting Salary $11.16 Agency: Department of Natural Resources; Division of Wildlife Resources Application Period: open Location: Division of Wildlife Resources 515 E 5300 S Ogden, UT 84405 Position Availability: Public Number of Openings: 1 Part Time: This position will be five hours a day, Monday – Friday, between 12:00 p.m. and 5:00 p.m. This position is time-limited and does not include benefits. Job Characteristics: First point of contact with the public, in person and over the phone. Answer three incoming phone lines. Communicate with the public, license agents and Division personnel, explaining Division-wide applicable hunting and fishing information including fees, rules, procedures, policies and decisions. Handle over the counter sales of licenses, permits, certificates of registrations, duplicates etc. and ensure all customers are assisted promptly. Provide expert resources in resolving difficulties in interpreting rules and policies pertinent to license and permit sales. Explain hunt application procedures and assist hunters over the phone with on-line applications. Use maps extensively to describe hunt boundaries. Use Google Earth to assist bear hunts in establishing approved bait stations and other hunting boundary questions. Assist with tagging bobcats, cougars, bears. Measure harvested swan heads and record accurate data to be used for aging purposes. Provide Hunter Education instructors with needed materials for their classes. Order and maintain ample inventory of Hunter Education materials. Prepare and sort mail each day. Shred documents which have met the proper retention schedule. Complete all prioritized tasks daily. Open and close office when needed. Assist other sections and office personnel as time permits. Attend various trainings. Qualifications: • Find, gather and collect information or data • Deal with people in a manner which shows sensitivity, tact and professionalism • Operate point-of-sale terminal, cash registers • Operate office equipment, computer keyboard and use database software • Enter, record, store or maintain information in either written or electronic form • Follow principles, practices and procedures of an office environment • Speak clearly, concisely and effectively; listen to and understand information and ideas as presented verbally • Make a decision or solve a problem by using logic to identify key facts, explore alternatives and propose quality solutions • Disseminate information by locating, referring and reading applicable laws, rules, regulations and/or policies and procedures • Use logic to analyze or identify underlying principles, reasons or facts associated with information or data to draw conclusions • Communicate information and ideas clearly and concisely, in writing; read and understand information presented in writing • Monitor or track information and data • Organize information to be easily located • Research methods, techniques and/or sources of information • Plan, organize and prioritize time and workload in order to accomplish tasks and meet deadlines • Understand agency objectives, organization, structure and mission • Follow written and/or oral instructions • Compile, code, categorize, calculate, tabulate, verify or process information or data • Additional knowledge of wildlife regulations for fishing and Hunting preferred. Miscellaneous: This position fills a need on the front desk selling licensees and permits, assist customers with draw applications, answers incoming phone calls and checks answering machine. Keeps inventory of guidebooks, office supplies and all Hunter education programs. Runs and reconciles daily sales reports. Monitor/changes back up tapes for network server. Assist Law Enforcements with processing and filling of wildlife disposal receipts and shipping permits and other reports.
